By using the Service, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

AI Processing

PokeBot uses artificial intelligence to provide our services. Your content is processed by AI systems to:

• Parse and analyze resumes
• Generate career recommendations
• Conduct mock interviews
• Provide personalized feedback

Who processes your content

To generate your results, we send the content you submit — including resume text, interview answers, and messages you send to the coach — to established third-party AI providers who process it on our behalf under contract. Audio you record is processed the same way to produce transcripts, and text is processed to generate spoken audio. We maintain a current list of these providers and share it with institutional customers under our data processing agreement; other users may request it at the contact address below.

AI training

We do not use your content to train AI models. We use paid, business-tier access to our AI providers, under which content submitted through their interfaces is not used to train their models.

Limits of AI feedback

PokeBot provides formative practice and coaching, not assessment or certification. Scores and feedback are generated automatically, are not reviewed by a human, and may contain errors. They are intended to support — not replace — advice from a qualified career counselor, and should be verified independently before you rely on them for a career decision.

Information Sharing

We do not sell your personal information. We may share your information with:

• Service providers: Third parties who help us operate the Service, in these categories — AI model processing, cloud hosting and file storage, database hosting, email delivery, payment processing, bot and abuse protection, and website analytics. A current list of these providers is available on request and is provided to institutional customers under our data processing agreement.
• Legal compliance: When required by law or to protect our rights
• Business transfers: In connection with mergers, acquisitions, or asset sales
• With your consent: When you explicitly authorize sharing

Third-Party Platform Integrations (ChatGPT)

PokeBot is available inside third-party AI assistants, including the PokeBot Career Coach app in OpenAI's ChatGPT.

• What we receive: When you use PokeBot tools inside ChatGPT, we receive the information you choose to submit to those tools — such as resume text, job descriptions, interview answers, and career goals — along with basic technical information needed to operate the service. We do not receive your ChatGPT account details, and we do not see your other ChatGPT conversations.
• How we use it: This information is used solely to provide the requested analysis (resume scoring, job matching, mock-interview feedback, career planning), exactly as described in "How We Use Your Information" above.
• Guest sessions: ChatGPT usage runs on temporary guest sessions that are not linked to a PokeBot account unless you create one. Guest session data is retained consistent with our Data Retention policy and is not used for marketing.
• What OpenAI sees: Your prompts and the results returned by PokeBot tools are also processed by OpenAI as part of ChatGPT, under OpenAI's own privacy policy. We do not control OpenAI's processing.
• Your choices: You can stop using the ChatGPT integration at any time by disconnecting the app in ChatGPT's settings. To request deletion of data submitted through ChatGPT, contact us at the address in "Contact Us."

Warm Intro Feature

PokeBot offers a Warm Intro feature that enables you to share your professional profile with recruiting partners for job opportunities. This feature is designed to give you control over how and when your information is shared.

Sharing Options

You can choose from three sharing levels in your Settings:

• Matched Sharing (Recommended - Default): Your profile and resume are shared with recruiting partners only for specific jobs you like (thumbs up). You maintain control over each sharing decision.
• Automatic Sharing: Your profile may be automatically shared with recruiting partners for roles that match your career preferences and qualifications, without requiring approval for each individual opportunity.
• Opt Out: Your profile is not shared with any recruiting partners. You can still use all other PokeBot features.

When you opt in to Warm Intro sharing, we may share:

• Resume and profile highlights

Who Receives Your Information

Your information is shared only with recruiting partners (headhunters, recruiters, and hiring teams) for specific job opportunities that match your profile. We work with vetted recruiting professionals to ensure quality introductions.

Your Control

You maintain full control over Warm Intro sharing:

• Change your sharing preference anytime in Settings
• Default setting is Matched Sharing (share only for jobs you like)

Data Security

We protect your information with encrypted connections (HTTPS/TLS) between your browser and our services, encrypted storage for files you upload, and access controls that limit your data to your own account. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. You can delete your account at any time from Settings; doing so removes your profile, your saved resumes, and the files you uploaded. You may also contact us at the address below to request deletion. Some information may be retained as required by law.

California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. We do not sell personal information as defined by the CCPA.

European Privacy Rights (GDPR)

If you are in the European Economic Area (EEA), you have rights under the General Data Protection Regulation (GDPR), including access, rectification, erasure, restriction, portability, and objection. Our legal basis for processing includes consent, contract performance, and legitimate interests.

Cookies

We use cookies and similar technologies to:

Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Users aged 13–17 may use the Service only with the consent of a parent or legal guardian, or as authorized and supervised by their school or educational program.

School and Educational Programs

When the Service is made available through a school or educational program, we use student information solely to provide the Service to that program and its students, and we honor deletion requests from the program or the student's parent or guardian.

International Data Transfers

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for international transfers in compliance with applicable laws.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on the Service or sending you an email. Your continued use after changes constitutes acceptance of the updated policy.
