PokeBot Corp. ("PokeBot," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered career growth platform ("the Service").

By using the Service, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

Information We Collect

Information You Provide

• Account information (name, email, password)
• Profile information (career history, skills, education)
• Resume and career documents you upload
• Interview responses and practice session data
• Career goals and preferences
• Payment information (processed securely by our payment provider)
• Communications with us (support requests, feedback)

Information Collected Automatically

• Device information (browser type, operating system)
• Usage data (features used, time spent, pages visited)
• IP address and approximate location
• Cookies and similar tracking technologies

How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Process and analyze your career documents with AI
• Generate personalized career recommendations
• Conduct mock interviews and provide feedback
• Track your progress and display analytics
• Process payments and manage subscriptions
• Communicate with you about the Service
• Send newsletters and product communications (with your consent)

We do not sell personal information, and we do not use students' personal information for advertising.

AI Processing

PokeBot uses artificial intelligence to provide our services. Your content is processed by AI systems to:

• Parse and analyze resumes
• Generate career recommendations
• Conduct mock interviews
• Provide personalized feedback

Who processes your content

To generate your results, we send the content you submit (including resume text, interview answers, and messages you send to the coach) to established third-party AI providers who process it on our behalf under contract. Audio you record is processed the same way to produce transcripts, and text is processed to generate spoken audio. We maintain a current list of these providers and share it with institutional customers under our data processing agreement; other users may request it at the contact address below.

AI training

We do not use your content to train AI models. We use paid, business-tier access to our AI providers, under which content submitted through their interfaces is not used to train their models.

Limits of AI feedback

PokeBot provides formative practice and coaching, not assessment or certification. Scores and feedback are generated automatically, are not reviewed by a human, and may contain errors. They are intended to support, not replace, advice from a qualified career counselor, and should be verified independently before you rely on them for a career decision.

Information Sharing

We do not sell your personal information. We may share your information with:

• Service providers: Third parties who help us operate the Service, in these categories: AI model processing, cloud hosting and file storage, database hosting, email delivery, payment processing, bot and abuse protection, and website analytics. A current list of these providers is available on request and is provided to institutional customers under our data processing agreement.
• Legal compliance: When required by law or to protect our rights
• Business transfers: In connection with mergers, acquisitions, or asset sales
• With your consent: When you explicitly authorize sharing

Third-Party Platform Integrations (ChatGPT, Claude and Muse)

PokeBot is available inside third-party AI assistants, including the PokeBot Career Coach app in OpenAI's ChatGPT.

ChatGPT

• What we receive: When you use PokeBot tools inside ChatGPT, we receive the information you choose to submit to those tools (such as resume text, job descriptions, interview answers, and career goals) along with basic technical information needed to operate the service. We do not receive your ChatGPT account details, and we do not see your other ChatGPT conversations.
• How we use it: This information is used solely to provide the requested analysis (resume scoring, job matching, mock-interview feedback, career planning), exactly as described in "How We Use Your Information" above.
• Guest sessions: ChatGPT usage runs on temporary guest sessions that are not linked to a PokeBot account unless you create one. Guest session data is retained consistent with our Data Retention policy and is not used for marketing.
• What OpenAI sees: Your prompts and the results returned by PokeBot tools are also processed by OpenAI as part of ChatGPT, under OpenAI's own privacy policy. We do not control OpenAI's processing.
• Your choices: You can stop using the ChatGPT integration at any time by disconnecting the app in ChatGPT's settings. To request deletion of data submitted through ChatGPT, contact us at the address in "Contact Us."

Claude

PokeBot is also available as a connector in Anthropic's Claude. Unlike the ChatGPT app, the Claude connector works only with a PokeBot account: you sign in to PokeBot and approve Claude's access before Claude can use PokeBot's tools.

• What we receive: When you use PokeBot tools inside Claude, we receive the information Claude sends to those tools (such as resume text, job descriptions, interview answers, and career goals) along with basic technical information needed to operate the service. We also keep a record of the access you approved: the app, when you approved it, and when it was last used. We do not receive your Claude account details, and we do not see your other Claude conversations.
• How we use it: This information is used to provide the tools you ask for (resume scoring, job matching, cover letters, mock-interview feedback, career planning) and to save the results to your PokeBot account, as described in "How We Use Your Information" above.
• Saved results: Results from resume scoring, job matching, cover letters, career goals, skill-gap analysis, and growth plans are saved to your PokeBot account unless you ask Claude not to save them. The full resume text you submit is not saved with these results, though a result can quote parts of it (for example, a strength it found in your resume). Mock interviews are always kept in your interview history, including the details you start them with (such as resume text and job descriptions) and your answers.
• What Anthropic sees: Your prompts and the results returned by PokeBot tools are also processed by Anthropic as part of Claude, under Anthropic's own privacy policy. We do not control Anthropic's processing.
• Access and revocation: Claude can use PokeBot only after you approve access on PokeBot's consent screen. You can revoke that access at any time in PokeBot (Settings, Integrations, Connected apps, Disconnect), which ends it immediately. Changing or resetting your PokeBot password also revokes it, and access you approve lasts at most one year. You can also remove the connector in Claude, which stops Claude from using it; to revoke the access on PokeBot's side as well, disconnect it in PokeBot.
• Retention: Saved results and interviews are kept like the rest of your account data, as described in "Data Retention" below. When access is revoked, for example when you disconnect Claude in PokeBot or change or reset your password, the record of that access is deleted in routine cleanup once 30 days have passed. Records of access that ends without being revoked (for example, when it expires after one year) are kept with your account data. Deleting your account deletes all access records.
• Your choices: To request deletion of data submitted through Claude, contact us at the address in "Contact Us."

Muse

PokeBot is also available as a connector in Meta's Muse. Like the Claude connector, it works only with a PokeBot account: you sign in to PokeBot and approve Muse's access before Muse can use PokeBot's tools.

• What we receive: When you use PokeBot tools inside Muse, we receive the information Muse sends to those tools (such as resume text, job descriptions, interview answers, and career goals) along with basic technical information needed to operate the service. We also keep a record of the access you approved: the app, when you approved it, and when it was last used. We do not receive your Muse or Meta account details, and we do not see your other Muse conversations.
• How we use it: This information is used only to provide the tools you ask for (resume scoring, job matching, cover letters, mock-interview feedback, career planning), as described in "How We Use Your Information" above.
• Results are not saved: Results from resume scoring, job matching, cover letters, career goals, skill-gap analysis, and growth plans are returned to Muse and are not saved to your PokeBot account. A mock interview is stored while it runs, including the details you start it with (such as resume text and job descriptions) and your answers, because PokeBot needs them to ask the next question and score your answers. PokeBot deletes the interview, with its activity record, once it has produced the interview summary for Muse; an interview you never finish is deleted when you revoke the access, or in routine cleanup after the access reaches its one-year limit (see below). Points, badges and activity counts (such as how many mock interviews you have done) that a finished interview adds stay on your account. So that identical input gets an identical score, a resume score or job-match result can be cached for up to 7 days under a code computed from the input; it is not saved to your account, and disconnecting Muse does not remove it early. Runs through Muse count toward your PokeBot plan, and we keep those counts and a record of when a plan limit was reached.
• What Meta sees: Your requests and the results PokeBot tools return are also processed by Meta as part of Muse, under Meta's own terms and privacy policy. Under Meta's terms for Muse connectors, Meta may use the content passed through PokeBot's tools, and information about how you use PokeBot in Muse (including your queries, the tools called, and their results), to personalize your Muse experience and to operate, secure, support and improve Muse. Meta and PokeBot each process this information independently. We do not control Meta's processing.
• Access and revocation: Muse can use PokeBot only after you approve access on PokeBot's consent screen. You can revoke that access at any time in PokeBot (Settings, Integrations, Connected apps, Disconnect), which ends it immediately and deletes any unfinished interview started through Muse. Changing or resetting your PokeBot password also revokes it, and access you approve lasts at most one year. You can also remove the connector in Muse, which stops Muse from using it; to revoke the access on PokeBot's side as well, disconnect it in PokeBot.
• Retention: When access ends, whether you revoke it or it expires after one year, the record of that access is deleted in routine cleanup once at least 30 days have passed. Deleting your account deletes all access records.
• Your choices: To request deletion of data submitted through Muse, contact us at the address in "Contact Us."

Warm Intro Feature

PokeBot offers a Warm Intro feature that enables you to share your professional profile with recruiting partners for job opportunities. This feature is designed to give you control over how and when your information is shared.

Sharing Options

You can choose from three sharing levels in your Settings:

• Matched Sharing (Recommended - Default): Your profile and resume are shared with recruiting partners only for specific jobs you like (thumbs up). You maintain control over each sharing decision.
• Automatic Sharing: We may consider you for any strong match with recruiting partners, not only roles you give a thumbs up. We still confirm with you before we approach a partner about any opportunity.
• Opt Out: Your profile is not shared with any recruiting partners. You can still use all other PokeBot features.

Who Receives Your Information

Your information is shared only with recruiting partners (headhunters, recruiters, and hiring teams) for specific job opportunities that match your profile. We work with vetted recruiting professionals to ensure quality introductions.

Your Control

You maintain full control over Warm Intro sharing:

• Change your sharing preference anytime in Settings
• Default setting is Matched Sharing (share only for jobs you like)

Data Security

We protect your information with encrypted connections (HTTPS/TLS) between your browser and our services, encrypted storage for files you upload, and access controls that limit your data to your own account. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. You can delete your account at any time from Settings; doing so removes your profile, your saved resumes, and the files you uploaded. You may also contact us at the address below to request deletion. Some information may be retained as required by law.

California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. We do not sell personal information as defined by the CCPA.

European Privacy Rights (GDPR)

If you are in the European Economic Area (EEA), you have rights under the General Data Protection Regulation (GDPR), including access, rectification, erasure, restriction, portability, and objection. Our legal basis for processing includes consent, contract performance, and legitimate interests.

Cookies

We use cookies and similar technologies to:

• Analyze how you use the Service
• Improve our Service

You can control cookies through your browser settings. Note that disabling cookies may affect functionality.

Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete it promptly. Users aged 13–17 may use the Service only with the consent of a parent or legal guardian, or as authorized and supervised by their school or educational program.

School and Educational Programs

When the Service is made available through a school or educational program, we use student information solely to provide the Service to that program and its students, and we honor deletion requests from the program or the student's parent or guardian.

International Data Transfers

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for international transfers in compliance with applicable laws.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on the Service or sending you an email. Your continued use after changes constitutes acceptance of the updated policy.
